TaskViaMe
Privacy Policy

TaskViaMe is built by TXEVA. This page explains what information TaskViaMe collects, why, who it is shared with, and how you can access, change or delete it. It applies to the TaskViaMe web application and, if you install it, the TaskViaMe app.
Information we collect
When you sign in with Google or Apple, we receive your name, email address and, if you provide one, a profile picture — nothing else from your account with them, and never your Google or Apple password.
A password of TaskViaMe's own, only if you add one yourself from the Account page so that you can also sign in with your email address. We keep only a one-way hash of it, never the password itself, and remove it when you take it away or delete your account. If you ask for a "forgot your password" link we email it to your account's address, and we email that address whenever a password is added, changed or removed.
What you enter directly: tasks you create or are sent, their titles, descriptions and checklists, comments such as a reason for declining or requesting changes, and any people you save to your contact list (name, email, phone number).
Chats you have in the app with other people on it — one to one or in a group, each with a title if you give it one: what you write and the files you send in them, which only the people in that chat can read. A chat can be started only with somebody in your People who is on the app, and never with somebody who blocked you. Anybody in a chat may add people to it, and whoever is added can read what was said before. Leaving a chat takes it off your list; deleting it, which only the person who started it can do (or, once they have left, whoever has been in it longest), removes it and every file in it for everybody. Deleting your account takes you out of every chat; what you wrote stays there for the others. Whoever wrote a line can see when everybody in the chat has read it (two ticks). A task made from a message appears in the chat as a card with its code, title and status, which everybody in it sees; only people the task itself reaches can open it. A chat can be linked to a project, whose name everybody in it then sees. Pinning, muting and archiving a chat are yours alone, and nobody else sees them.
A profile photo, only if you choose one on your Account page. Your device crops it to a small square before it is sent, and we store it privately with anything else the file carries — such as where and with which phone it was taken — removed. It may be shown beside your name to people who see your name in TaskViaMe, and it is deleted when you remove it or delete your account.
A TaskViaMe ID, such as @rawad.kh, made from your name when your account is created; you can change it on your Account page. Anybody who has your ID can see your name and profile photo and add you to their People. Your ID is only ever found by typing it in full: there is no list or search of them.
Your phone number: the app asks for it before you start, and you write it yourself — on that screen, or later on your Account page (or say "this is my number" on an invitation to connect that was sent to it). We save it to your account; we do not send a code to it or check it. If two accounts give the same number, neither can be found by it. While "Let people who have my number find me" is on — it is on from the start — someone who saved your number can add you and send you work in the app; anybody you have blocked never can. You can turn this off on your Account page at any time, and turning it off takes effect at once.
Your email address and your number are shown to the people who have you in their People — somebody who added you by your TaskViaMe ID, or connected with you — while "Show my email address" and "Show my number" are on in your Account page. Both are on from the start; turning one off hides it at once. A number or address somebody saved for you themselves stays in their own list. If you block somebody you share work with, they see on that work that you blocked them, and it is paused until you unblock them; somebody you have never worked with is not told.
In the Android app, "Pick from contacts" asks for permission to your phone's contacts. It reads only the one contact you choose — its name, phone number and email — to fill in the form, and nothing from it is kept unless you save that person.
Also in the Android app, only if you turn on "Your contacts on TaskViaMe" in People and agree to what it says: the names and phone numbers in your phone's contacts are sent to us to see which of them belong to people on TaskViaMe who let people with their number find them. Those people are added to your People, under the name your phone has for them and with that number. Every other name and number is used for that check only and is not stored or logged. Emails, photos, notes and addresses in your contacts are never read, and your address book is never changed. It checks again when you open the app, about twice a day, until you press "Stop" in People.
Files you upload to a task — photos, video, documents — are stored privately with Amazon Web Services (Amazon S3) in the European Union, reachable only through the app and only by people authorised on that task: each view uses a link the app issues after checking who is asking, and the link stops working after an hour. We do not open, analyse or use them for anything other than showing them to the two sides of the task. The camera is used only when you choose to take a photo to attach, and only for that photo.
A voice note is recorded only after you tap the microphone button, and stops when you send or cancel it. The app never listens at any other time, on any device, and the recording is stored like any other file on the task.
A record of account activity such as sign-ins, session devices, and the timeline of actions on a task (who did what, and when), which is how the app proves a task was actually completed.
If you turn on browser notifications, the browser gives us a subscription address for your device so we can deliver them. We do not read or store the notification's content anywhere your browser and its notification service do not already see it.
In the Android app, if you allow notifications, your phone gives us a device token from Google's Firebase Cloud Messaging so we can deliver them to that phone. The token identifies the app on that phone, not you, and it is removed from your account when you sign out there.
How we use it
To operate the product: create and update tasks, notify the right person when something needs their attention, and keep the record of what happened on a task.
To keep your account secure: recognise your device, detect suspicious sign-ins, and let you review or end sessions from Settings.
We do not use your information for advertising, and we do not build advertising profiles from it.
Who sees it
The person you send a task to sees what your chosen sharing setting allows them to see, exactly as TaskViaMe shows you it will.
If you are on a project — because its owner placed you there, or because you took on work from it — the other people on that project see your name and what you do on it, and you see theirs. The project's list shows names and roles only: never an email address or a phone number.
Google or Apple confirm your identity when you sign in with them; TaskViaMe never receives your Google or Apple password.
Emails about your password are sent through the mail service of our hosting provider, Hostinger, to your account's own address only.
A browser notification is relayed through your browser's own push service (for example Google's or Apple's) — the same service every notification-using site relies on. It only ever carries the notification text, and only your browser can read it.
A notification in the Android app is delivered through Google's Firebase Cloud Messaging, which carries its title and text to your phone and nothing else.
Files on tasks are held for us by Amazon Web Services, which stores them and does not use them for anything of its own.
We do not sell your information, and we do not share it with third parties for their own marketing.
How long we keep it
Your account data is kept for as long as your account exists. Deleting your account, from Settings, removes your profile and personal data, and deletes the files on the tasks in your workspace within minutes; a record that a task happened may be kept in a form that no longer identifies you, so the people who relied on it keep an accurate history.
Files and voice notes are kept while the task is open and for 15 days after it is finished or cancelled, and are then deleted from storage. The record keeps the file's name, size, sender and date — without the file itself — so the task's history stays complete. Deleting a task — or a project, with every task in it — deletes their files within minutes.
Your choices
You can review and correct your name, language, time zone and notification preferences at any time from Settings.
You can turn browser notifications off from the same page, at any moment, with no effect on the rest of the app. In the Android app, notifications are turned off from your phone's settings for TaskViaMe.
You can end any signed-in session, on any device, from Settings — including this one.
You can delete your account from Settings. This cannot be undone. The steps, and exactly what is deleted and what is kept, are at www.taskviame.com/delete-account.
Security
Sign-in with Google or Apple is handled by them, and they never share your password with us. If you add a password of TaskViaMe's own, we store only a one-way hash of it; a "forgot your password" link works once and for one hour; and a session that signed in with that password cannot delete the account. Your session is kept in a cookie your browser sends automatically and no script on the page can read. A link that shares a task carries a token made with a secret key that never leaves our server, and our database keeps only a one-way hash of it, so nobody who could read our database could reconstruct a working link from it.
Children
TaskViaMe is not directed at children, and we do not knowingly collect information from anyone under 16.

If this policy changes in a way that affects what we collect or how we use it, we will update this page and change the date at the top.
